What happens to the information you give this website, in plain language.

What we collect

The only information this website collects is what you type into one of the forms, and any photos or documents you attach. That is usually your name, lot number, contact details and a description of the matter. The site does not use tracking or advertising cookies. A cookie is used only to keep committee members signed in to the administration area.

Why we collect it

So the matter can be dealt with, and so there is a record of it. Requests and reports made by email alone have a habit of disappearing when a committee changes, which is the problem this site exists to solve.

Who sees it

Each form is directed to whoever is responsible for that kind of request — the building manager, the committee, or the strata manager. Committee members and the building manager can see submissions in the website’s administration area. We do not sell information, and we do not pass it to anyone else except where it is needed to deal with your matter (for example, giving a contractor the details of a repair) or where the law requires it.

Body corporate records

What you submit becomes part of the body corporate’s records. Under section 205 of the Body Corporate and Community Management Act 1997 (Qld), owners, buyers and other people who can show a proper interest may ask to inspect body corporate records or obtain copies, and they do not have to give a reason. In other words, a report you make may be seen by others in the scheme — including, potentially, a person it concerns. Please keep what you write factual and to the point, and leave out anything you would not want read back to you. The body corporate may withhold part of a record it reasonably believes is defamatory.

Where it is kept

Submissions and attachments are stored in the website’s own database, on servers operated by our hosting provider, which may be located outside Australia. Notification emails are sent and stored through the body corporate’s Google Workspace account. Access to the administration area requires an individual account and password, and attachments cannot be reached without signing in.

How long we keep it

Submissions are kept while they may still be needed as part of the body corporate’s records. They are not deleted from the website by committee members in the ordinary course — a record that can be quietly removed is not much of a record.

Seeing or correcting your information

Ask the committee using the contact details on the contact page and we will tell you what we hold about you and correct anything that is wrong. If you think your information has been mishandled, tell the committee first; if you are not satisfied, the Office of the Australian Information Commissioner publishes guidance on what to do next.

Where we stand legally

Most bodies corporate are not bound by the Privacy Act 1988 (Cth), because that Act generally exempts organisations with an annual turnover of $3 million or less. Queensland’s Information Privacy Act 2009 applies to government agencies, not to bodies corporate. This body corporate has chosen to follow the Australian Privacy Principles as a matter of good practice regardless, which is what this page describes. This page is a plain-language statement, not legal advice.
